53 Cash arrives almost empty. Building it out is a one-off job, and the shape you give it decides what your cash reports can ever tell you.

1. Start from what ships

Open Chart of accounts and expand 5 Current Assets → 53 Cash. Three children are already there:

AccountLatin description
531Cash
532Cheque
533Cards

53 Cash as it ships: 533 Cards, 531 Cash and 532 Cheque, under 5 Current Assets

That is the whole starting point. 531 is the one you build under.

2. List the money containers the business actually has

Before opening anything, write down where cash physically sits. A shop with a counter, a depot and salesmen on the road has four answers, and a single-till business has one. The training's list is a good prompt, not a template:

  • the grand cash: what you collect from clients and pay suppliers out of, and where the day's till goes when the cashier closes;
  • the petty cash: the money in the secretary's hand for the small invoices that turn up, the electricity bill on the day it arrives;
  • a POS cash per terminal;
  • a cash van per salesman on the road.
This differs from business to business. There is no correct answer to copy - you have to know how the business actually works before you can model it.

3. Open each one

Select the parent (531 for grand and petty cash, 53 for the rest), press New, and fill the Chart of accounts details form: Number, Description, Latin description, and the three checkboxes VAT / Fixed / PID. Cash accounts are not VAT accounts, so leave VAT clear.

The Chart of accounts details form opened on 531, with Number, Description, Latin description and the VAT / Fixed / PID checkboxes

The training builds this:

AccountLatin descriptionUnderPID
5311Grand Cash531no
5312Petty Cash531no
535POS Cash53yes
539Cash Van53yes

4. Decide PID with one question

Can this business ever have more than one of them?

One POS terminal today, three next year, yes. More than one van on the road, yes. More than one safe, the accountant's and the manager's, yes. Tick PID on those, and the single account can then carry a separate auxiliary record per terminal, per van, per safe, each with its own balance.

Grand cash and petty cash are single by nature. They do not get a PID.

Decide it now. The PID setting can no longer be changed once an entry has gone through the account, so guessing "we will only ever have one" is a decision you may not be able to take back.

5. Check the result

The finished structure: 533 Cards, 531 Cash with 5311 Grand Cash and 5312 Petty Cash beneath it, then 539 Cash Van, 532 Cheque and 535 POS Cash

Newly opened accounts do not appear in the left menu on their own. the tree there is maintained separately, so ask your Libra contact to add them if you want them reachable from the menu.

افتح شجرة الحسابات (Chart of accounts) ووسّع 5 Current Assets ← 53 Cash.

5 Current Assets
